PRIMARY FUNCTION

Takes responsibility and provides overall management of the fundraising management system. Creates and maintains coding, structure, and takes ownership in fine-tuning set-up and processes. Serves as the subject matter expert and provides ongoing training and support to users on how to use the fundraising system. Takes ownership of creating and maintaining updates to documentation around guidelines and procedures.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Responsible for database management, serves as System Administrator for the fundraising database and interfaces with IT and consultants in manners related to the fundraising management system.
  • Manages quality control for data entry, constituent information management and data imports.
  • Extracts data from fundraising software to facilitate mailings and reports. Uses Word, Excel, Access and other programs as needed.
  • Controls users' access and security rights. Performs monthly and annual maintenance tasks.
  • Supports and trains staff regarding using the system, interpretation of records, producing mailings and reports, business processes and policies and other related matters to maximize effectiveness of fundraising system.
  • Creates dashboards and trains users in maximizing KPIs.
  • Works with Finance Department to full-fill data requests. Manages and performs weekly and monthly reconciliations.
  • Leads and manages internal user groups. Participates in external user groups keeping up-to-date on best practices.
  • Develops, maintains and manages routine screening processes to fill pipelines.
  • Provides oversight of gift processing and acknowledgement functions, assists during high-volume times and when gift processor is out. Oversees timely processing of gifts and acknowledgements maintaining a donor-centric philosophy.
  • Works with Christiana Care's IT department to establish and maintain security procedures for access to the fundraising management system and protecting priority data; performs ongoing maintenance to ensure optimal system performance.
  • Works with the vice president, and gift officers to ensure that projects are completed in a timely and accurate manner.
  • Works in a multi-disciplinary, "team-oriented" environment.
  • Improves work flow process for optimal performance; takes ownership and follows through on problems or requests made by team members, system executives or clients.
  • Develops a strong working knowledge of Christiana Care Health System's mission, vision and strategic objectives
  • Performs assigned work safely, adhering to established departmental safety rules and practices; reports to supervisor, in a timely manner, any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors.
  • Performs other related duties as required.

EDUCATION AND EXPERIENCE REQUIREMENTS:

  • Two years of college or equivalent.
  • Three to five years in database management.
  • Blackbaud Raiser's Edge experience required. bCRE Certification a plus.
  • An equivalent combination of education and experience may be substituted, but must include at least two years of appropriate experience.

KNOWLEDGE, SKILL, AND ABILITY REQUIREMENTS:

  • Ability to accurately understand complex information and apply the information to his/her responsibilities.
  • Proactively seeks to educate self to adjust to changing needs of the department. Is a self-starter. Voluntarily takes initiative to improve.
  • Ability to maintain confidential information and materials.
  • Proficient in Microsoft Word, Excel, PowerPoint, Quicken and Outlook. Microsoft Access experience a plus.
  • Ability to demonstrate consistent, exceptional customer service skills with co-workers and external audiences
  • Ability to exercise judgment, tact, and diplomacy.
  • Skill in oral and written communications.
